Vacancy: Executive Assistant

ST. THOMAS

Under the general supervision of the Administrator, an employee in this class performs a wide range of highly responsible, complex and confidential administrative duties. Work requires a high degree of integrity, professionalism, and the ability to exercise sound independent judgment. Requires excellent communication and interpersonal skills, and the ability to provide excellent service and information to internal and external contacts. Includes responsibility for the supervision of staff assigned to the Administrator’s Office.

DUTIES INCLUDE:

  • Provides a wide range of complex office administration and administrative support to the Administrator and the office operations as assigned.
  • Completes tasks that include managing the calendar of appointments, completing a variety of reports, arranging detailed and complex, meetings, agendas, and travel.
  • Reviews, assesses, routes, answers, and monitors follow up action steps on calls, visits, and correspondence. Gathers and analyzes information for administrative reporting.
  • Compose and edit correspondence including letters, meeting minutes, presentations, and reports.
  • Trains and supervises all staff assigned to the Administrator’s office.
  • Supervises the mailroom and messenger and directs the mail flow to and from the Administrator’s office to ensure the proper distribution.
  • Coordinates the collection of monthly reports and other required reports from Senior Management.
  • Serves as the Petty Cash Custodian.
  • Provides office support to include, welcoming visitors, guests, and employees to the Administrator’s office.
  • Makes recommendations for solutions to administrative problems.
  • Coordinates events, meetings, forums, and department functions.
  • Takes initiative to anticipate needs of the Administrator and Senior Staff.
  • Contributes to the unit effort by accomplishing related duties as required

QUALIFICATIONS:

Master’s degree in Business Management, Public or Business Administration, Communications, Marketing, or similar field, and two (2) years executive level office administration experience with minimum of two (2) years in a supervisory capacity. CPM Certification preferred or;

Bachelor’s degree in Business Management, Public or Business Administration, Communications, Marketing, or similar field, and four (4) years executive level office administration experience with minimum of two (2) years in a supervisory capacity. CPM Certification preferred.
